DescriptionOffice Assistant 3PermanentBellingham Field OfficeThe Washington State Department of Corrections is seeking a highly motivated and qualified individual for the position of a permanent Office Assistant 3 (OA 3) at the Bellingham Field Office, located in Bellingham, Washington.The Department's mission is to improve public safety by positively changing lives. This position was established to provide administrative support to the two Bellingham Field Offices, consisting of Community Corrections Supervisor's, Secretary Supervisor and Community Corrections Officer's. A thorough reference check will be conducted for final applicants.DutiesUnder general supervisor of the Secretary Supervisor, incumbent performs duties as part of the Unit's support team. Responsible for the assignment process in the Bellingham Field Offices. Ensures that all cyclical functions within the scope of responsibility of this position are completed within required timeframes as determined by policy or procedure. Plans and prioritizes work.Responsibilities for this position will include, but are not limited to, the following:

  • Act as Assignment staff for the Bellingham Unit.
  • Assigns new causes, prison releases and investigations utilizing the OMNI system.
  • Creates case files for the intake procedure on new and offenders.
  • Prepares conditions and completes file work for offenders releasing from prison to the Bellingham Unit.
  • Transfers files between caseloads. Updates OMNI system.
  • Creates and maintains logs for intakes, investigations, and officer caseloads for assignment purposes.
  • Screens files, OMNI and court documents for accuracy and to determine necessary action.
  • Accesses systems including SCOMIS, DISCIS, OMNI, OBTS, MyWhatcom.
  • Responds to inquiries regarding policies and procedures.
  • Ensures ongoing cross-training for staff responsible for backing up assignment process.
  • Acts as receptionist for the Bellingham Unit.
  • Answers phones as backup - answers multi line phone and direct calls
  • Greets, assists and directs clients and visitors to the appropriate staff and/or agency
  • Monitors general activity in reception area and report any safety concern to duty officer
  • Using OMNI and other systems, researches files, documents and other sources to obtain or clarify information; resolves problems and responds to inquiries relating to rules, policies and procedures.
  • Acts as backup to other support positions in the Unit.
  • Backup other support duties including Court Liaison, process office mail and court documents, input in STAR system, ordering supplies and victim/witness process.
  • Take minutes and complete notes for CCS review.
  • Monitors general activity in reception area and report any safety concern to duty officerQualificationsRequired Qualification:
    • High School Graduate or equivalent
    • Two years of clerical experience requiring keyboarding or typing/word processingSpecial Requirements:
